Job Summary:
The position of Executive Assistant is a dynamic role with a diverse number of assigned daily tasks. The primary responsibility of this position is to provide administrative support to the three senior executives of our New York City-based family office advisory team. Additional duties include coordinating meetings, travel, communications, and events. The day-to-day role could expand to include operational tasks, client service involvement, and team administration.
Duties/Responsibilities:
The Executive Assistant is responsible for, but not limited to the following:
- Coordinating calendars, travel, meetings, reservations, and events
- Managing executives’ calendars/daily schedule to include prioritizing client requests, tracking commitments, and ensuring completion
- Direct incoming communications
- Facilitate meetings and client events, registering guests, greeting, and directing appropriately
- Liaise with the Marketing Team on event planning and merchandising
- Manage the ordering of office supplies, pantry items, and catering
- Other administrative tasks as assigned by managers
Skills & Qualifications:
- 2+ yrs of experience preferred in high net worth service
- Bachelor’s degree or equivalent professional experience
- Skill in operating various office and software programs (i.e., Microsoft Office, Salesforce CRM, Adobe Acrobat). Exceptional Microsoft Word & Excel skills are highly preferred.
- Ability to communicate tactfully with clients, advisors, and staff members
- Ability to manage competing priorities in a calm and professional manner
- High level of confidentiality, discretion, and professionalism
- Excellent oral and written communication skills
- Ability to organize, prioritize, and handle multiple tasks within established timeframes
Salary: $80,000-$95,000, based on experience.
