Job Summary

The Receptionist is responsible for establishing positive first impressions with clients, vendors, and visitors to the office. The receptionist will greet clients, manage conference room schedules, process mail, and assist the Wealth Management Division in various capacities.

Duties/Responsibilities:

Provide receptionist and administrative support to the Wealth Management Division and other Cygnus Building Staff. Greet and welcome clients, vendors, and visitors. Maintain the reception area.
Serve as mail coordinator for the office. Receive mail, sign for packages, oversee outgoing mail. Manage the daily incoming check log and maintain accurate records of inbound checks. Ensure mail is processed in a timely and orderly fashion. Coordinate requests for and delivery of company files held in offsite storage facilities.
Order supplies and maintain office equipment.
Assist Fiduciary Investment Advisors in the preparation and delivery of client-oriented materials and marketing materials.
Answer telephone calls and direct calls to appropriate parties. Assist Fiduciary Investment Advisors in establishing appointments with clients.
Assist with event planning.
Assist the Director in project assignments and perform other duties as required.
